The Organizing Committee of the 35th International Geological Congress 2016 would like to extend to you an invitation to participate in the conference by sponsoring. 

Sponsorships are allocated on a ‘first come first served’ basis.

We will support our sponsors to ensure they receive maximum return on their investment and receive the exposure to which we agree.

Since each potential sponsor has a different set of objectives, requirements and budget, a number of sponsorship options have been made available which allowing sponsors to choose an opportunity which best meets their particular requirements.  However should these ideas not suit your company needs please feel free to contact the organisers to discuss alternative opportunities.

Who attends the International Geological Congress?

Based on the attendance at recent IGC’s (Brisbane, Oslo and Milan), IGC 2016 is expected to attract between 6000 and 10 000 delegates from at least 150 countries including attendees from African countries. As a result, this will be the largest gathering of geoscientists ever held in Africa.

Sponsorship of the IGC 2016 provides an ideal opportunity to showcase your company’s involvement in the geoscience and mining sectors and highlight your achievements, specific interests and capabilities. The following conference and post conference components have been identified as sponsorship opportunities:

  • Pre-conference funding.
  • Conference venue and associated infrastructure.
  • Conference events and functions such as the welcome function, conference dinner, the opening and closing ceremonies, various lunches, teas and delegate bags.
  • Scientific Symposia, key note speakers or specific presentations relevant to your organisation.
  • Facilitation and / or funding of field trips and site visits.
  • Publication of conference specific material – such as the conference programme, field trip guide books and the abstract volume.
  • Participation in the 35TH IGC Legacy Programme, which includes:
    Geo-host programme
    • Enabling geoscientists and geoscience students, particularly those from African and other developing countries, to attend the event.
    GeoHeritage programme
    Benefitting sustainable development, community involvement and tourism in Africa through:
    • A coffee table style book on the GeoHeritage of Africa incorporating its vast mining heritage.
    • Booklets for a number of Geo-trails as well as pamphlets on specific c Geo-sites and mining heritage sites throughout Africa.

The organisers will endeavour to provide a sponsorship package which best suits your organisations’ corporate strategy and objectives. Proposals for sponsorship options not identified here would be most welcome.

 

Why should your company book a symposium?

The Symposium is an ideal medium to reach your target audience and to inform potential clients about the latest developments in scientific research. Symposia take place within the various assigned meeting rooms at the CTICC. Symposium content has to be submitted to the Chairperson of the Programme Committee no later than 2 March 2016 in order to be included in the official congress programme. Companies understand and explicitly agree that it is up to the Programme Committee to decide whether an application is accepted or not. No appeal will be allowed. Companies wishing to order refreshments for their symposium are requested to contact the CTICC.

 

Symposium Topics

In order to avoid similar symposium topics being scheduled in parallel, companies should clearly state the proposed topic. When several companies apply for a symposium on the same topic, the congress Programme Committee reserves the right to assign different time slots to avoid overlap.

 

Time slots and rental cost in ZAR (South African rand)

Rental cost in ZAR 30 000 (inclusive of VAT).

Rental rates include the use of the 35th IGC logo on invitations and promotional documents, and publication of the symposium in the programme.

 

Rates further include:
  • room rental
  • standard audio-visual equipment
  • audio-visual technician
  • lighting technician (if applicable)
  • access to the speaker preview room
  • permission to use the company’s branding inside the room (production to be organised and paid for by the company).

 

Rehearsal time of maximum 1.5 hours, outside of the official programme hours, has to be confirmed with the organisers. This complimentary rehearsal time, including set-up of equipment, where necessary, needs to be booked in advance by the sponsor, preferably when completing the sponsorship agreement, and will be allocated on a ‘first-come, first-served’ basis.

Rental rates do not include the cost for extras (e.g. catering service, extra audio-visual equipment, extra furniture, extra decoration, extra hostesses, etc.). To order extra equipment, we suggest that companies first liaise with organisers before contacting the official supplier.

 

Reservations and room allocation

Options on suitable rooms and time slots can be held, free of charge, until requests for the same rooms and time slots are received from another company. In that instance, the company holding the option will be informed by the organisers and will need to confirm its choice in writing within one week. If the organisers do not receive written confirmation, the option will be released. Options will be released free of charge. The reservation of a symposium will only be valid when the company has returned a completed and signed sponsorship agreement.

Reservation of the symposium room has to be arranged through the organiser, and not directly with the congress venue. The request for a symposium should be made by 31 March 2015.

Applications received after this date will be subject to a late charge of an additional 10% of the rental fee.

 

Payment deadlines for symposia

First instalment (50% of the total amount), following the receipt of the application and the provision of an invoice by the organisers.

Second instalment (50% of the total amount) by 01 September 2015.

Interest will be charged on late payments.
